Office procedures: 2023 tax season

This post is written to inform our clients how we plan to operate this filing season. If you are new to our office, we do have another post that explains some additional steps.

Our goal for this year is to continue to increase our efficiency and reduce the overall turnaround time. We are doing all we can to ensure a stress-free process for each of our clients.


Things to know

  • The most efficient means of tax preparation in our office is through a face-to-face meeting with you and all your tax documents.

  • Remote tax returns will have a longer turnaround time than in-person clients.

  • We have updated worksheets for the 2023 filing season on the Resources page. If you have an old version saved, please be sure to download the newest versions before preparing for your 2023 taxes. We will also have the worksheets available in the office if you would like to pick up a paper copy.

  • All clients are required to complete the Intake Form and Engagement Letter. You are welcome to download this from the Resources page so you can have it already completed when you come in to see us.

  • Client Organizers have been uploaded to your portal. If you need access to your SmartVault client portal, you can request an invitation. We can also print a copy for you to pick up in our office if you call (503) 289-4500, option [4].

  • Navigating through the ongoing limitations, our turnaround time for completed tax returns has increased over the years.  Our focus as we continue to transition back to in-person meetings, is to reduce the extended turnaround times we experienced over the last few years.  We will not be providing a cut-off date as our goal is to complete as many returns as we are able to before the due date. However, as we get closer to the deadline, clients may need to file an extension.


In-person

We operate as a walk-in service - we do not take appointments. When you have the majority of your tax documents and are ready to get started, please come in. We ask that you please only come in to the office if you are feeling healthy and have not been exposed to Covid or any other contagious virus. Please be aware that parking on Greeley continues to be an issue. For clients with mobility concerns, you are welcome to utilize one of our alternate methods for delivery.


Drop-off

We will continue to accept documents in our dropbox on the front porch if you would rather not come inside the office. Please be sure to include your completed Intake Form and Engagement Letter. Please do not include receipts or bank statements -- only essential tax documents, worksheets, and notes. We will notify you to let you know we received your documents which will then be placed in line, and we will provide an estimated turnaround time.


Digital

All existing clients have an online portal set up. If you need access to your portal, please complete the request form on the Resources page. If you have already been activated but don’t remember your password, that can all be done online. For more information on our SmartVault client portal, we have another post with details.

When uploading your documents, be sure to include your completed Intake Form. This form can be found on the Resources page. When your taxes are complete, we will email instructions for you to view, sign, and pay our fee via SmartVault and DocuSign.

IMPORTANT:

When you have finished uploading your tax documents, call or email our office to let us know. We will not log your return in line until you communicate with us.

If you would like to mail your tax documents to our office, our address is:

Please be sure to include your completed Intake Form. (We are happy to mail a copy of this form to you upon request.) Please do not include receipts or bank statements -- only essential tax documents, worksheets, and notes. We will notify you to let you know we received your documents which will then be placed in line, and we will provide an estimated turnaround time. When your taxes are complete, we will mail the forms back to you via USPS Priority Mail with signature required upon delivery.
